EMERGENCY COMMUNICATION FAQS

Clear answers, before you need them.

Everything you need to know about getting The Calling Tree live, reaching people when normal systems fail, and proving what happened afterwards.

Emergency communication made practical.

These answers explain how The Calling Tree works in real organisations, from a simple email-only start through to complex multi-site and multi-organisation roll-outs. It is built to remove the usual blockers: lack of time, imperfect staff data, privacy concerns, IT dependency and uncertainty about staff adoption.

Getting started and roll-out

A practical route from the data you have today to a tested emergency communication capability.

What is The Calling Tree?

The Calling Tree is an emergency communication and business continuity platform. It helps organisations send critical alerts through SMS, voice calls and the mobile app, then see who has received, acknowledged or responded.

How quickly can we be operational?

Most organisations can be operational within a day. We create your private administration console, support initial data loading and help guide your first rollout.

Do we need everyone's private mobile number before we start?

No. Start with staff work email addresses. People can securely add and manage their own emergency contact details and consent, reducing the need to collect private contact information before rollout.

What if our data is incomplete or out of date?

You do not have to solve every data issue before getting started. Begin with the information you have, such as staff work email addresses, and improve it as people securely confirm their own details. We can also help plan a staged import from HR data when that is the right route.

Can we use our existing HR export or organisation chart?

Yes. We can work with existing staff data, reporting lines and custom groupings. Simple email list or complex HR export, we configure The Calling Tree around the way you work.

Can we organise people in more than one way?

Yes. You can group people by department, team, role, office, site, practice area, country, first language or any other useful attribute. Attributes can be combined to reach exactly the right people quickly.

During an incident

Reach people through independent channels and keep a clear view of the response.

What happens if email or Teams is unavailable?

The Calling Tree is designed as an independent emergency communication channel. Alerts can be sent through SMS, voice and the mobile app when internal email, Teams or other normal systems are unavailable.

Do all staff need to install the app?

No. Critical messages can still be delivered and answered through SMS, voice and the web. The mobile app adds access to plans, documents, maps and in-app alerts, but it is not a single point of failure.

Can we test the system before an emergency?

Yes. You can run drills and communication exercises to build confidence before an incident. The response record shows who received and acknowledged the exercise, helping identify gaps and follow up without relying on manual call lists.

How do we know who still needs help?

Live status pages show delivery, acknowledgement and check-in responses as they happen. You can identify outstanding people, act on the information and retain the complete audit trail afterwards.

Can we send different messages to different groups?

Yes. Administrators can target messages and response requests to the groups relevant to the incident, such as a specific office, response team, department, country or role.

Security, privacy and support

Keep personal data controlled and get practical help when you need it.

Where is our data stored?

Your data is hosted in a secure European data centre. Access is controlled through your private administration portal, with role-based permissions to support privacy and information-governance policies.

How are personal contact details and consent handled?

Organisations can invite people using work email addresses. Staff can securely provide and manage their own emergency contact details and consent choices, helping minimise the administrative burden of handling private data.

What happens when someone joins or leaves?

Administrators can add people individually or through a data upload. When someone leaves, access to the app and sensitive continuity information can be removed immediately.

Can you help us get staff to adopt the service?

Yes. Depending on your pricing tier, we can help with rollout communications, administrator onboarding and practical assistance for end users. The aim is to remove the usual uncertainty around adoption, so people know what the service is for and what to do when invited.

What support do we receive?

Support is tailored to your pricing tier. Every organisation receives help getting started. Depending on your plan, we can support your administrators, assist with rollout and onboarding, and provide practical help to end users. We are there to remove the usual ownership and confidence barriers before they slow down a resilience programme.
